Insight into ICT User Requirements for the Municipality of Leiden
MareVisie and the Municipality of Leiden collaborated on mapping the ICT user requirements for the layout of both the existing and the new office building. MareVisie was commissioned to document the future IT needs and thereby lay the foundation for the municipality’s future workplace strategy.
The Municipality of Leiden faced the challenge of making the ICT facilities within its offices future-proof . This meant that both the specific user requirements and the broader IT infrastructure needed to be mapped out.
Additionally, it was essential that the results were supported by the organization and that the plan provided the right tools for the architectural designer to effectively integrate these ICT solutions into the designs. MareVisie was engaged to develop this advice and guide the organization through it. The process of guiding this and translating user needs into a strategically and technically substantiated workplace concept.
Our Approach: from Input to Supported Advice
MareVisie conducted the inventory, using:
- Workshops, interviews, and feedback sessions to document wishes and requirements.
- The methodologies “use cases” and “day-in-a-life-of” to outline realistic user scenarios.
- Definition of reference spaces in which the necessary ICT facilities were documented.
The collected information was fed back in interactive sessions to the involved stakeholders, creating support for the advice. Additionally, we tested the ICT requirements against state-of-the-art concepts, such as location- and time-independent working, the flex factor and the future vision on collaboration within the municipality. MareVisie also introduced a service concept linked to ICT user requirements, which helped in establishing a model for calculating alternatives. The result?
- A concrete and supported final report, which the municipality could immediately act upon.
- Support in decision-making, thanks to a clear presentation of ICT options and their impact.
- A widely supported vision, as all stakeholders were actively involved in the process.
An important lesson from this project was that short, executive projects often prove to be more complex than initially thought. With a vision on future technology, a good understanding of the organizational strategy, and a clear step-by-step plan, it goes very well.
